We schedule around that calendar, and hand back the documentation your institution's finance or audit committee will ask for when the old assets are written off.
Where lab machines still work, refurbishment and redeployment is often the better outcome than recycling outright, whether that's donation, resale, or reissue elsewhere on campus. Anything that doesn't clear that bar moves on to recycling instead.
